We are seeking a motivated, detail-oriented, entry-level Tenant Coordinator to join our team. The Tenant Coordinator I will assist in a wide variety of tasks including managing relationships with tenants within our properties concerning their construction needs to prepare their spaces for business, in addition to administrative support. This role will act as the primary liaison between AVM and the tenant from the point of lease execution from the point of lease execution up until the time the space is delivered by the GM and final documents are received. In addition to excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment, this role requires an ability to help tenants mitigate obstacles to opening. Ideal candidates will possess a degree in a relevant field and have some prior experience in property management or a related field. This position reports to: Tenant Coordinator II.
Position Summary
- Tenant Communication/Facilitation: Act as a primary point of contact for tenants, addressing inquiries, concerns, and requests in a timely and professional manner. Facilitate tenant openings to ensure that tenants open without delay. Anticipate issues/problems by analyzing the necessary timelines for plans, construction, landlord work, permitting, coordination of existing tenants, etc., and prevent delays by escalating/resolving the issues.Monitor deals to ensure that any delivery dates required by a lease with penalties are not missed. Keep all internal stakeholders updated on tenant status.
- Planning: Tracking all deals that are pending lease execution with an understanding the of scope of the build-out, understanding internal design criteria, anticipated opening date, and magnitude of tenant work required in the space.
- Monitor: All critical milestone dates to ensure timely completion of work and resulting tenant openings. Monitor tenant progress to ensure opening dates remain on track and document delays and causes to review practices and procedures for best practices.
- Construction Inspections: Conduct regular construction inspections to ensure tenant spaces are well-maintained and in compliance with lease agreements.
- Coordination: Collect and validate all required documentation from the tenant and forward it to respective internal teams for review and approval.
- Vendor Coordination: Liaise with vendors and contractors for services related to tenant spaces, ensuring quality and cost-effectiveness. Coordinate any vendor work, utility shut off and repair requests from tenants, working closely with property management and maintenance staff to ensure timely resolution.
- Tenant Onboarding: Facilitate the onboarding process for new tenants, including orientation meetings, construction meetings, and facilitation of expeditors as needed.
- Documentation and Recordkeeping: Maintain accurate and up-to-date records of tenant communications, lease agreements, and property-related documentation. In addition, review online permitting, municipality, and county approval processes to ensure a technical understanding of tenants’ status within the permitting process.
Responsibilities:
- Bachelor’s degree in project management, Construction Management, Real Estate, Property Management, or a related field or four years of relevant experience.
- Prior experience in property management, real estate, or a similar field is preferred but not required.
- Prior experience with document review, inclusive of certificates of insurance, contractor indemnities and lien releases.
- Ability to read and understand construction drawings.
- Ability to provide on-site support for both retail sites (Aventura Mall and Town Center Aventura)
- Strong communication skills, both written and verbal, with the ability to interact professionally with tenants and internal stakeholders.
- Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple responsibilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to work effectively both independently and as part of a team in a dynamic and fast-paced environment.
- A willingness to learn and adapt to changing responsibilities and priorities.
- Knowledge of lease administration and property management principles is a plus.
